Office & Operations Administrator

Location: Cebu Business Park, Cebu City (100% On-Site) , mostly day with some USA overlap (12pm-9pm with occasional later nights)

Report To: Director of Operations

Compensation: Excellent pay, health coverage, 2 weeks vacation to start, occasional international travel, yearly team trip, 13th month pay.

ABOUT THE ROLE: We are Sugbo Logic Systems, an export-focused technology company building Intelligent Transport Systems (ITS) and tolling software for international clients.

We are looking for a highly organized, trustworthy, and tech-savvy Operations Administrator to be the "heart" of our Cebu office. You will not be writing code; you will be ensuring the office runs smoothly so our developers can focus on building software. You will act as the bridge between our local team, our external accountants, and our international clients.

KEY RESPONSIBILITIES:

1. Finance & Bookkeeping Support (The "Keeper of Receipts")

  • Petty Cash Management: Custody of the office petty cash fund; disbursing funds for office supplies/meals and logging every peso.

  • Receipt Digitalization: Collecting, organizing, and scanning all official receipts (ORs) into Google Drive for our external accounting firm.

  • Invoicing: Preparing and sending billing statements to clients based on templates provided by management.

  • Bank Liaison: Handling over-the-counter bank transactions (deposits/check pickups).

2. HR & Compliance Admin

  • Employee Onboarding: Collecting pre-employment requirements (TIN, SSS, PhilHealth numbers) from new hires and creating their 201 Files.

  • Benefits Coordination: Coordinating with our external payroll provider to ensure SSS, PhilHealth, and HDMF contributions are posted correctly.

  • Leave Tracking: Maintaining the team’s attendance and leave credits log.

3. Office Management

  • Facility Management: Ensuring the internet is fast, the AC is working, and the rent/utilities are paid on time.

  • Procurement: Purchasing office supplies, snacks, coffee, and equipment (laptops/monitors) as approved by management.

  • Events: Organizing team lunches, meetings, and client visits.

4. Executive Assistance

  • Assisting the Management team with local logistics, travel bookings, or errands during visits to Cebu.

WHO WE ARE LOOKING FOR:

  • Trustworthiness: You will handle cash and sensitive documents. References checked.

  • Education: Bachelor’s degree in Business Administration, Management, Accounting, or a related field. (Accounting grads are a plus, but CPA is not required).

  • Experience: Minimum 2–3 years of experience in an Admin, Office Management, or Executive Assistant role.

  • Tech-Savvy: Proficient in Google Workspace (Sheets, Drive, Docs) and comfortable using chat apps (WhatsApp, Google Chat) for communication.

  • Communication: Excellent written and verbal English skills (you will report directly to US clients).

  • Grit: Willing to do "legwork"—processing permits at City Hall or buying cables at the mall when needed.
